JOB TITLE: Clerical Assistant
DEPARTMENT: Centre for Continuing & Distance Education (CCDE)
STATUS: 1.0 FTE; Term, maternity leave replacement for up to 9 months.
COMPETITION NO.: 10061-C
SALARY INFORMATION: $2391.78 to $2869.53 per month (Operational Services, Phase 2). The starting salary will be commensurate with education and experience.
PRIMARY PURPOSE: To provide clerical support for the Business & Leadership Programs team in the Professional Development and Community Education unit.
NATURE OF WORK: Reporting to the Program Manager, this position is of moderate complexity and is required to work on several tasks with multiple competing priorities in a busy office environment. The work is driven by deadlines, continuous changes and shifting priorities. Frequent and consistent interaction with clients, staff, and the work team will be required. This position occasionally requires heavy lifting and bending.
TYPICAL DUTIES: Working as part of a team, providing clerical and administrative duties for the Program Manager, Coordinators, and the Office Manager, specific duties include: telephone and office reception; liaising with clients, facilitators and CCDE staff; ordering and organizing program course materials; performing word processing and formatting of course materials; database management; maintaining mailing lists; filing; cheque requisitions; P-card reconciliation; and other secretarial duties as assigned.
QUALIFICATIONS
Education: Completion of Grade 12 plus a one year administrative diploma from a recognized post-secondary institution.
Experience: Minimum 2-3 years of related experience, preferably in a university setting.
Skills: Possess exceptional interpersonal and communication skills with a tactful, responsive, pleasant and effective manner of phone and e-mail communication; the ability to manage multiple projects with competing demands and adhere to deadlines, including the demonstrated ability to show initiative to work independently as well as part of a team; proficiency in all facets of clerical and secretarial work with demonstrated effective organizational and time management skills; and experience with Macintosh computers, including database software (FileMaker Pro) and Microsoft Office software. Knowledge of University procedures and applications (Unifi, and PAWS) would be considered assets.

STATUS: 0.80 FTE; Permanent

SALARY INFORMATION: $2919.58 to $3941.82 per month (pro rated) (Operational Services, Phase 4). The starting salary will be commensurate with education and experience.
PRIMARY PURPOSE: To coordinate the clinical, academic and administrative responsibilities of a surgeon in the Division of General Surgery, and to assist in maintaining the effective flow of office correspondence and information for the Division.
NATURE OF WORK: Reporting to the Administrative Assistant to the Department Head, this position is driven by constant deadlines, continuous changes and shifting priorities. This position works independently with moderate supervision, and is assisted by the supervisor in determining appropriate action for complex issues and decisions.
TYPICAL DUTIES: Schedules appointments, tests, surgeries and admissions; transcribes dictation; keyboards clinical and general correspondence, schedules, medical manuscripts and publications; performs telephone and office reception; filing; billing; processes mail; and performs other duties as assigned.
QUALIFICATIONS
Education: Completion of Grade 12 and a medical secretarial diploma from a recognized post-secondary institution.
Experience: Two to five years of clinical secretarial experience, preferably in a University setting.
Skills: Effective interpersonal and communication skills, both written and verbal; demonstrates effective organization and time management skills; proven ability to work on multiple projects with competing demands to meet deadlines; ability to effectively work both independently and as part of a team; proficient with transcription using Microsoft Word; and a thorough knowledge and understanding of medical terminology. Working knowledge of Medsoft for maintaining and retrieving patient information would be an asset.
